Hotel PMS Integrations FAQs
The best solutions use cloud-native, Open API platforms that allow different software systems to communicate instantly. To maximize efficiency, look for these three core features:
- Real-Time Webhooks: Instead of manual syncing, the system “pushes” updates (like a guest check-in) to door locks, Wi-Fi, and apps the second they happen.
- Plug-and-Play Integration Hubs: Modern platforms offer pre-built connections to hundreds of vendors (POS, Housekeeping, and Revenue Management), allowing you to activate new tools without custom coding.
- Two-Way Data Sync: The best integrations ensure information flows both ways. For example, a restaurant charge at a POS automatically appears on the guest’s final bill in the PMS.
Tip: Look for “Open API” providers that do not charge per-interface fees, so you can build a custom tech stack that scales without added costs.
Your data is “segmented,” so a security leak in one small app won’t expose your entire hotel database, thanks to two specific safeguards:
- Digital “Valet Keys” (OAuth): Instead of sharing your master password, you give each app a unique “key.” This key only works for that specific app, and you can “cancel” it instantly at any time without locking yourself out of the system.
- Need-to-Know Access (Scopes): Each integration is restricted to only the data it needs to function. For example, a Door Lock app can see a guest’s room number and checkout date, but it is digitally blocked from seeing their credit card info or home address.
The main difference is how your data travels between your PMS and connected software. We offer two primary methods to ensure every part of your hotel stays in sync:
- Direct & Open API Integrations (Modern & Instant): These are “cloud-to-cloud” connections where Stayntouch and the partner app talk directly to each other using Webhooks that “push” updates instantly. For example, the moment a guest checks in, your messaging app and door lock system are notified in real-time. This is the fastest and most reliable method for modern apps like Toast POS or SiteMinder.
- 3rd Party Integrations (The “Bridge” Approach): Some systems—especially older hardware or specialized accounting tools—require a “translator” to talk to the cloud. We use industry-leading partners like COMTROL (for legacy door locks and PBX phone systems) or Omniboost (for complex financial software) to act as a secure bridge. This allows you to keep your existing hardware while still enjoying the benefits of a modern mobile PMS.
Most modern hotel “apps” will use a Direct or Open API connection. If you are looking to connect older on-site equipment (like a physical phone PBX) or specific accounting software, you will likely use a 3rd Party bridge.
